Paris, November 13, 2023. The Centre Hospitalier de Lens, a leading establishment in the Artois region, has undertaken an ambitious digital transition in collaboration with Kodak Alaris, a specialist in Intelligent Document Processing (IDP). This initiative aims to digitize its archives, thus meeting a crucial dual objective: to move towards Paperless while optimizing the care pathway for patients.

Issues related to document management and archiving within healthcare establishments are at the heart of the challenges of digital transformation. The transition to all-digital is essential for the simplified processing and circulation of documents and data in the various departments, with the patient at the center of the process. The Lens Hospital (CH) has integrated all these issues into its development through an ambitious project launched in 2017.

With nearly 1,000 beds and places available in various medical specialties, the Lens Hospital is the pilot establishment for public hospitals in Artois. In preparation for its planned move to a new building integrating medical, surgical and obstetrics activities by 2027, the establishment has embarked on the digitization of its paper archives, involving all staff.

“In hospitals, managing medical records takes a lot of energy and space. They are the memory of everything that is done in terms of care, and they are necessary for the medical follow-up of patients in the new hospital,” emphasizes Théo Bourrelier, Director of Logistics, Hospitality and Biomedical Services at the Hôpitaux Publics de l'Artois. “We had space constraints, so we decided to move towards a complete digitization of our medical archives. This means that we will not have a dedicated archive storage space in the new hospital, but also that doctors and caregivers will have easier access to patients' medical records, which will improve the care pathway.”

Image quality thanks to Kodak Alaris solutions

In order to carry out this project, the Lens Hospital approached Kodak Alaris in 2020 to install the Kodak i5850s scanner and the Kodak Capture Pro solution to digitize more than 5,000 linear meters of archives smoothly and with high-quality rendering. Two workflows have been established for digitization: non-active archives are gradually dematerialized in accordance with regulations, while active medical files are prioritized for digitization during visits to the patients concerned.

Dr. Olivier Lefebvre, Head of the Emergency Department at the Lens Hospital, explains: “Digitizing with Kodak Alaris tools guarantees us a constant and legible image quality. Real-time access to medical and paramedical data via computer tools is essential to save lives and improve patient care.”

Smoothing the care pathway in the zero paper approach

The tangible benefits of this initiative are numerous, considerably optimizing the organization of the care pathway within the Lens Hospital Center, in particular:

  • Direct access to patient data in real time, facilitating the monitoring of the care pathway from the pre-consultation to hospitalization;
  • Centralization of the various documents making up the patient file (biological tests, for example);
  • Easier sharing of patients' medical records with other hospitals in the area;
  • Time savings in patient care and reduction of human and medical errors.

“In hospitals, we are bound by regulations at the level of departmental archives. The combination of these two products, the Kodak i5850 scanner and Kodak Capture Pro, offers a quality very close to the original, which allows for faster destruction of hospital archives and reduces retention times from 20 years to 6 months,” says Stéphanie Lapinski, territorial manager of hospital archives for all the Public Hospitals of Artois.
