El Salvador makes use of Kodak Alaris

The Kodak i5200 scanners, together with Kodak Capture Pro software, facilitated the digitization of large volumes of accounting documentation as well as other sources from the bank, achieving a significant improvement in the efficiency of information search.

Context:

One of the main financial institutions in El Salvador requested advice on the implementation of intelligent capture solutions that would enable the institution to streamline its processes in relation to the handling of general documentation and the bank's accounting, for the daily processing of approximately 40,000 documents.

Situation:

The institution was digitizing its documents with outdated equipment. Although the client emphasized that the equipment used did not present technical problems in its operational functions, the costs of the supplies used in the process were very high, leading to the need to move forward on a renewal of the installed devices in order to optimize operational costs.

Objective:

To reduce the costs associated with digitization processing, while at the same time making document management more efficient by improving the classification and identification of documents by type, date and generating agency.

Solution:

Through its business partner in El Salvador, Kodak Alaris offered the banking institution a solution consisting of Kodak i5200 scanners and Kodak Capture Pro software. Thus, the processing consists of physically placing printed barcode separators, digitizing and sending the images to a central bank server where the software monitors the folders and classifies the documents, respectively.

Then, the images generated from the digitized and classified documents are processed together with flat files, which are uploaded to the document management system available in the institution.

Benefits and Results:

An integral solution made up of several elements not only allows for efficiency in processes but can also automatically drive improvements in other aspects of the business. Such is the case of the bank which, in addition to reducing the costs of the document capture process by no longer using microfilming equipment, also allowed for an easy, fast, and collaborative search of high-priority documents, as it is available to several collaborators thanks to the document manager.
